Easter Event Cancelled

Hi All

At the last residents meeting, I mentioned that the Committee is going to put on a number of events, including an Easter egg hunt.

The Social team put in a lot of effort organising the event and had a lot of it ready to go, and that we had some sponsors for it etc.  However the Issue of Public Liability Insurance reared its head.  Some research was done into our type of event to see if we needed it, the costs and if we could get away with some form of disclaimer to remove the liability from the RA members.

Even as a voluntary organisation, we are liable for public accidents at our events.  As it turnes out, a disclaimer doesn’t really hold much water should a serious accident occur. The quotes we recieved were in the region of £250 for a 12 month period, to cover all events.

Given the current financial status of the RA (ie £0.00 in the bank) and not being able to get sponsorship to cover the Liability Insurance in such a short period, I have taken the decision to cancel our Easter Event and to take all the ideas and merge them into the Big Lunch Event which will be happening soon.

By this time, we hope to have secured some grant funding in order to pay for the insurance and we will be covered. 

We could have progressed without it, but given the bulding site nature of the village, I would hate for anyone to have injured themselves in our event, and then for the committee members to be liable just for trying to do a good thing. It would have been irresponsible for us to continue. It is a valuable lesson for us and thankfully, a painless one.

To this end, if anyone has any good ideas for future funding, then we are all ears. We have a number of projects we would like to get off the ground in the coming financial year and all sources of funding would be welcome.

So my apologies for not being able to put on this event, however I hope you will understand our reasons. My Thanks to Mark, Tracey, Emma and Sarah for putting in the hard work and organisation and I hope we can "make good" at The Big Lunch.

    Good morning everyone,

    Maybe we could have a May Day fete and charge a small entrance fee, a raffle, sweet stand, cake stand etc etc, or hold a car boot sale? Most car boot sales charge £5 to get in, if we had 20 cars that’s £100; only problem with that is the big market at Hempstead.
    It might attract people into our village and counter what has been said in the papers previously.

    I’ve been looking on the website for your contact details but cant seem to find them – are they available?

    It’s a shame that the event is cancelled. I’d like to be more involved with these types of events if someone can point me in the right direction. I’m also a qualified accountant if we need a treasurer for the RA.

    I’ve got a few ideas on raising funds (which I’ve already instigated today) and will wait to hear anything a bit more concrete before I talk about them. However, I do want to say that I’ve had an initial response from a local insurance company that may be able to sponsor us for the PL cover for any future events the village hold. I worked there for 7 years, so I’m hopeful of a successful outcome. I’ll keep you all posted.
